Timesheet FAQ

Everything UK hourly-paid workers and shift staff ask about timesheets, hours, and pay.

Subtract your start time from your finish time for each shift, then deduct any unpaid break time. For example, a 09:00–17:30 shift with a 30-minute break equals 8 hours worked. Add up all your daily totals to get your weekly hours.

Overtime rates are set by your employment contract or collective agreement — there is no legal requirement for employers to pay extra. Common rates are time-and-a-half (1.5×) for weekday overtime and double time (2×) for Sundays or bank holidays. Hours over your contracted weekly total (often 37.5 or 40 hours) usually count as overtime.

Under the Working Time Regulations 1998, you cannot work more than an average of 48 hours per week unless you have signed an opt-out agreement. You are also entitled to a 20-minute rest break if you work more than 6 hours a day, and at least 11 consecutive hours rest between shifts.

This depends on your contract. The 20-minute statutory rest break for shifts over 6 hours does not have to be paid unless your contract says otherwise. Many employers do pay for standard breaks such as lunch, while others treat them as unpaid time off the clock. Check your contract or ask HR.

For shifts that cross midnight (for example, 22:00 to 06:00), add 24 hours to the end time before subtracting the start time. So 06:00 becomes 30:00, minus 22:00, giving 8 hours. This calculator handles overnight shifts automatically.

Employers must keep records showing that workers are not exceeding the 48-hour weekly limit and are receiving their statutory rest breaks. While there is no specific legal format, most employers use timesheets, clock-in systems, or scheduling apps. You should keep your own copies in case of disputes.
